Manage the Intervention Team
Who can manage the intervention team? The plan creator and champion are automatically added to the intervention team and may then add additional staff. Once added, anyone listed on the intervention team can also add or remove others from the intervention team.
Note: We recommend including at least one building or district manager on each intervention team to assist with transitioning intervention access during roster changes.
1. On the Students tab, click My Group Plans under Interventions on the left
2. Click on the group intervention plan
3. Click the Manage team button
4. Add or remove educators:
- To add: begin entering staff name and select from drop-down
- To remove: click small x to the right of existing team member’s name
5. Click Save to apply team changes
The intervention plan creator and champion are automatically on the intervention team. Additional educators can be added or removed from the intervention team, by any existing team member. I don't see a teacher on the list of available staff.
What functions are available to members of the team?
In addition to the overview available on My Group Plans, members of the intervention team can do the following:
- add notes
- edit or delete the plan
- add/delete students
- mark the plan complete
- add/remove educators from the intervention team
To avoid possible mistakes or confusion, we recommend collaborating with your team to determine who will be responsible for maintaining group intervention plans.
Add a Student to an Existing group intervention plan
Any member of the intervention team can add students to the group intervention plan.
1. On the Students tab, click My Group Plans under Interventions on the left
2. Click on the group intervention plan
3. Click the More action button. Select Add Students in the drop-down.
4. Begin typing the student’s name in the search field. Select the student’s name in the drop-down.
5. Click Save. The student is now in the plan group with the same intervention details such as start date, duration, etc.
Student’s name not in the drop down?
Confirm the spelling of the student’s name and that the student is listed on your Student’s tab in Student Success. If not, check the data entry into your student information system to ensure the student has an active school enrollment. For classroom users, also confirm the student is scheduled into one of your courses.
Special Instructions for Plans with AIMSweb Math PM
Due to a known issue, an error occurs when adding students to existing intervention plan groups that have AIMSweb math selected as the PM measure. The workarounds suggested are: 1) Create an individual intervention plan for the student, instead of adding to a plan group, or; 2) delete the existing intervention plan group and recreate it with the additional student included, using the original start date.
Guide to Group Intervention Changes
We get questions about making changes to intervention plans; People are uncertain whether they should mark an intervention plan as complete or delete it before creating a new one or if they should just edit the existing intervention plan information. This section is intended to be a quick summary to help guide users to the correct process for the most common.
Edit group intervention plan information when...
- there’s an error in the intervention information
- you’re extending duration of the intervention
- the intervention champion changes
Mark the plan as complete and create a new plan group (if applicable) when...
- the students have met goal and no longer needs the intervention
- making a change to the intervention strategy or intensity
- changing the progress monitoring measure. Note: PM changes usually align with instructional changes, which would prompt a new intervention plan.
- Note: this creates a phase flag on the progress monitoring graph, once the new plan is created
Delete a group intervention plan or a student from the group when...
- Plan group was created in error. Deleting a group intervention plan permanently removes the intervention from all student records.
- The student was added to the wrong plan group. When a student is deleted, the student is removed from the group and the intervention is removed from the student’s record.
Pro-tip: Anyone on the intervention team can complete, edit or delete an intervention plan. To avoid possible mistakes or confusion, we recommend collaborating with your team to determine who will be responsible for maintaining the intervention plan.
Edit a group intervention plan
Only the plan creator, champion, or intervention team member can edit an intervention plan. Editing a plan overwrites the existing intervention plan information for all students in the group intervention plan. Editing is appropriate when there's an error, you’re extending the duration or to change the champion.
1. On the Students tab, select My Group Plans under Interventions on the left
2. Click on the group intervention plan
3. Click the More actions button and select Edit group plan in the drop-down
4. Make changes on the edit intervention plan pop-up screen. Remember, changing the strategy, tier or PM measure selected is not recommended unless it was entered in error.
5. Click Save
End (Complete) an Intervention Plan
Only the plan creator, champion, or intervention team member can end an intervention plan. The intervention plan can be ended for one student in the group or all students. Mark the plan as complete (and create a new plan group, if applicable) when...
- the student has met goal and no longer needs the intervention
- changing intervention strategies
- changing the progress monitoring measure. Note: PM changes usually align with instructional changes, which would prompt a new intervention plan.
To remove a student from a group intervention plan or to end a group intervention plan for all students is the same steps. Update 22-23 school year: Students marked as ended in a group intervention can be re-added to the same intervention in the future, as needed. This option was not available previously.
1. On the Students tab, select My Group Plans under Interventions on the left
2. Click on the group intervention plan
3. Click on the student to display details
4. Click the More actions button and select Complete plan in the drop-down
5. Enter Date of completion and Goal status. The recommendation field is optional but will appear on the student's intervention plan, if entered. You might use the recommendation field to indicate next steps or suggestions for maintenance after the intervention is completed.
6. Click Save. Remember: Once ended, the intervention can't be restored! Repeat for the other students in the plan group, if completing the plan for all students.
7. All students The group intervention plan will remain listed on the My Group Plans page of anyone on the intervention team.
How do I remove completed group interventions from My Group Plans?
If you created the group intervention or are listed as the champion, the group will remain visible on your list and can’t be removed. All others on the intervention team: you can remove yourself (and others) from the intervention team, which removes the plan group from your list. See: Manage Intervention Team.
We forgot to mark last year's intervention plans complete and they're visible under the current year. How can we remove them?
The original creator of the plan (which is listed in the intervention details) can mark previous year's intervention plans complete.
Delete an Intervention Plan
Only the plan creator, champion, or intervention team member can delete an intervention plan. Delete is generally used when a group intervention plan was created by mistake or student was added in error. To avoid possible mistakes or confusion, we recommend collaborating with your team to determine who will be responsible for maintaining the intervention plan. Once deleted, intervention plan information is completely removed from the system and cannot be restored.
To delete a student from a plan group, which will remove all record of the intervention from the student’s record:
1. On the Students tab, select My Group Plans under Interventions on the left
2. Click on the group intervention plan
3. Click on the student to display details
4. Click the More actions button and select Delete plan in the drop-down
5. Click Delete in the pop-up to confirm
Delete the whole group intervention plan:
Warning! this also deletes the intervention plan from all students in the plan group
1. On the Students tab, select My Group Plans under Interventions on the left
2. Click on the student to display details
3. Click the More actions button and select Delete group plan in the drop-down
4. Click Delete in the pop-up to confirm. Remember: Once deleted, the intervention can't be restored!
Review your Group Interventions
You can see your list of group interventions on the My Group Plans page. This includes interventions that you created and interventions for which you are the champion.
Group interventions are organized by Tier. Within each section you can see the following information about the intervention:
- Group name
- Enrollment (number of students/plans) in the group
- Strategies in use
- Week: current week of total number of weeks
- % on track: On track status is defined by the most recent PM score of each individual plan -- a student can be On track (green - above the goal line), Progressing (yellow - somewhat below the goal line), or Behind (red - far below the goal line) when it comes to meeting the goal of the intervention.
- % up to date: Up to date is defined by whether the most recent progress update falls within the expected monitoring frequency on the plan. For example, if a plan’s monitoring frequency is set to Weekly, the plan will be up to date (green) if a PM score was collected in the last week (or progress notes made if not an intervention monitored by automated PM data collection). If it has been more than a week since the last update, an update will be due (yellow). If it has been more than two weeks since the last update, it will be overdue (red).
- Champion
Click on the group intervention to see additional intervention details and manage the group with options available via the More actions and Manage team buttons:
Within the group, click on the + to the left of the student’s name to view the student’s graph, notes and other details, as well as the student More actions menu.
